Privacy Policy

This Privacy Policy explains what personal information CoachStable collects, how we use it, and your rights in relation to it. CoachStable is committed to complying with the Protection of Personal Information Act (POPIA) of South Africa and to respecting the privacy rights of users worldwide.

1. Who We Are

CoachStable is a practice management platform for racket sport coaches. It is a product of Racketeers Padel, developed and operated by Blackened Digital, a company registered in South Africa ("we," "us," or "our").

For the purposes of data protection law, we act as the data controller for personal information we collect directly from coaches. For personal information that coaches enter about their clients, the coach is the data controller and CoachStable acts as the data processor.

2. Information We Collect

From coaches (account holders): name and email address, payment reference codes from Paystack (we do not store card numbers), account preferences, usage data collected anonymously, and communications you send to us.

From coaches about their clients: client name, email, phone, date of birth, gender, nationality, coaching notes, session history, goals, progress records, package details, and intake form responses.

Automatically collected: IP address, browser type, operating system, referring URL, and error logs.

3. How We Use Your Information

We use personal information to create and manage your account, provide and operate platform features, process subscription payments, send transactional emails, respond to support requests, maintain platform security, and improve the platform using anonymised usage data.

We do not use your personal information or your clients' personal information for advertising, profiling, or sale to third parties. We do not send marketing emails without your explicit consent.

4. Legal Basis for Processing

We process personal information under the following legal bases: contractual necessity, legitimate interests (platform security and improvement), legal obligation, and consent where applicable. This policy reflects compliance with both POPIA (South Africa) and GDPR (EU/EEA).

5. How We Store and Protect Your Data

All CoachStable data is stored in Supabase, a database platform built on PostgreSQL and hosted on AWS infrastructure. Data is encrypted at rest and in transit using industry-standard TLS/SSL protocols. Row Level Security (RLS) is enforced at the database level — each coach can only access their own data and that of their clients.

We do not sell, rent, or share your personal information with any third party for their own marketing or commercial purposes.

Coaches using CoachStable are data controllers for client personal information they enter. You are responsible for informing clients that their information is stored in CoachStable, obtaining appropriate consent, responding to client data requests, and keeping data accurate and relevant.

9. Your Rights

Depending on your location, you may have the right to access, rectify, erase, port, object to processing, or restrict processing of your personal information. To exercise any of these rights, contact us at support@coachstable.com. We will respond to all verified requests within 30 days.

South African users may lodge a complaint with the Information Regulator of South Africa at inforegulator.org.za. EU/EEA users may lodge a complaint with their local data protection authority.

10. Cookies and Tracking

CoachStable uses strictly necessary cookies to maintain your authenticated session. We do not use advertising cookies, tracking pixels, or third-party analytics tools that identify individual users. We do not use Google Analytics, Facebook Pixel, or similar tracking services.

11. Cloudflare Turnstile (Bot Protection)

CoachStable uses Cloudflare Turnstile on our login and signup pages to distinguish real users from automated bots, instead of traditional CAPTCHAs that require solving puzzles. Turnstile runs a small non-interactive check in your browser and may process technical signals such as browser and device characteristics to make this determination.

12. Children's Privacy

CoachStable is not intended for use by individuals under 18 years of age. If we become aware that a child under 18 has provided personal information, we will delete it promptly. Contact us at support@coachstable.com if you believe we may have inadvertently collected information from a minor.

13. International Data Transfers

CoachStable is a South Africa–based service used by coaches worldwide. Data may be processed on servers in South Africa, the United States, and the EU through our infrastructure providers. Appropriate safeguards are in place through data processing agreements with Supabase, Vercel, and Paystack.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email at least 14 days before they take effect. The updated policy will always be available at this URL with a revised "last updated" date.
